The information we collect
When you send an enquiry
- your name, email address and contact number
- your event type, date, and venue or postcode
- the services you’re interested in
- anything optional you choose to share, such as estimated guest numbers, an estimated budget and your event vision
When you book with us
The details needed to plan and deliver your event: your confirmed design, venue access arrangements, set-up and collection times, our correspondence with you, quotes, invoices and payment records.
When you visit the website
Like any website, our hosting provider receives technical information when pages are requested, such as your IP address, browser type and the pages visited, so the site can be delivered securely. Our enquiry form also uses your IP address briefly to stop the form being misused (see below). We do not use analytics or advertising tracking on this website.
How we use it, and our lawful basis
- Replying to your enquiry and preparing a quote: to take steps at your request before entering into a contract.
- Planning and delivering your booking, including liaising with your venue and any trusted partners involved in your event: to perform our contract with you.
- Keeping business and financial records: to meet our legal obligations, such as tax and accounting requirements.
- Keeping the website and enquiry form secure, including spam protection and limiting repeated submissions: our legitimate interests in protecting our website and inbox from abuse.
We do not sell your information, and we do not use it for marketing without your permission.
How enquiries are handled
When you submit the enquiry form, your details are checked on our server and sent straight to our team at enquiry@stagesandco.com by email. The website does not store enquiries in a database. To stop the form being misused, your IP address is held briefly in the server’s temporary memory to limit repeated submissions, and is not stored with your enquiry.
Who we share it with
We only share your information where it’s needed to run this website or deliver your event:
- Vercel, which hosts this website and processes the technical information described above.
- Resend, which delivers enquiries from the website to our inbox.
- Trusted partners who deliver part of your booking, such as entertainment or food stations, and your venue, only as needed for your event.
- Authorities such as HMRC, where we are required to by law.
International transfers
Some of the service providers above are based outside the UK, including in the United States, so your information may be processed outside the UK. Where this happens, we make sure safeguards required by UK data protection law are in place. You can contact us for more information.
How long we keep it
- Enquiries that don’t lead to a booking: 12 months after our last meaningful communication with you, then deleted.
- Confirmed bookings and financial records: generally 6 years, so we can meet our accounting and legal obligations.
- Photographs or footage showing identifiable people: only used with your agreement, and removed from public use if you withdraw it.
Photographs at your event
We may photograph or film the décor, styling and set-up at your event for our portfolio and marketing. We’ll only use images or footage showing identifiable people publicly where this has been agreed with you in advance. Let us know before your event if you’d prefer us not to take them, particularly where children will be present. See clause 8 of our Terms & Conditions.
Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete your information
- ask us to restrict how we use it, or object to our use of it
- ask for information you gave us to be transferred to you or another organisation
- withdraw your consent at any time, where we rely on consent
Some rights depend on the circumstances. For example, we may need to keep booking and financial records to meet our legal obligations.

Email enquiry@stagesandco.com or call 020 3540 4210. We may need to confirm your identity before acting on a request. We’ll respond within one month, and there’s normally no charge.
Complaints
If you’re unhappy with how we’ve handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
