These Terms & Conditions apply to all bookings made with Stages & Co (“we”, “us”, “our”) and are supplied together with your invoice. By making payment of your booking deposit, you confirm that you have read, understood and agree to be bound by the terms set out below.
Stages & Co is a trading name of STAGES AND EVENTS LTD, a company registered in england and wales (company number 17342592), whose registered office is at 140 High Town Road, Luton, LU2 0DJ, United Kingdom.
These terms apply to bookings made on or after 26 October 2026. Bookings made earlier remain under the version of the terms provided at the time of booking (see clause 12).
1. Booking & Confirmation
A booking is only confirmed once we have received your signed quote (or written confirmation) and the required deposit. Until then, your date is not held and may be offered to another customer.
2. Deposits & Payment
Deposits are calculated based on the services included in your booking:
- Stage, Backdrop & Signage: a flat £75 non-refundable booking deposit, with the remaining balance payable in cash on the day of the event, before setup begins.
- Lighting, entertainment and other event add-ons (including DJs, dhol, booths, food and dessert stations and similar services): a flat £100 non-refundable booking deposit per service, with the remaining balance payable by bank transfer the day before the event.
In addition, a refundable £75 Damage Deposit applies to every booking. This is separate from, and in addition to, your non-refundable booking deposit, and will be returned the same day, following collection and inspection of all hired items, provided no damage, loss or excessive staining is identified (see Clause 4).
Deposits are due immediately to secure your booking. Dates are not held without payment, and any delay in paying the required deposit may result in the date being offered to another customer.
Nothing in this clause affects your statutory rights under UK consumer protection law.
3. Cancellations & Rescheduling
We understand that plans can sometimes change. If you need to cancel or reschedule your booking, you must notify us in writing as soon as possible. The date we receive your written cancellation will be treated as the cancellation date.
Cancellations
More than 30 days before the event: your booking deposit is non-refundable. Any other amounts you have paid will be refunded in full.
15–30 days before the event: a cancellation charge of 50% of the total booking value applies, inclusive of your booking deposit. Any amount you've already paid above this charge will be refunded; any shortfall will be invoiced and is due within 7 days.
14 days or less before the event: the full total booking value becomes payable. This reflects the costs, supplier commitments and lost bookings we have already incurred this close to your event. Any amount already paid will be deducted from this total, and any shortfall will be invoiced and due within 7 days.
The £75 Damage Deposit will always be refunded in full where the event does not take place, provided none of our equipment has been supplied or used.
Rescheduling
If you need to change your event date, please contact us as soon as possible. Where a reschedule is requested more than 14 days before the event, we will do our best to transfer your booking to another available date without an additional rescheduling fee. All rescheduled dates are subject to availability.
Where the venue, services, quantities or other requirements change, the booking price may also need to be adjusted.
Requests made 14 days or less before the event will be treated as a cancellation under the terms above, unless we agree otherwise in writing.
4. Damage, Loss & Liability for Hired Goods
You are responsible for all hired items (including fabrics, backdrops, sofas, furniture, and décor) for the duration they are in use at the venue. You will be charged the full repair or replacement cost for any item that is damaged, stained, or lost, or not returned in the condition it was supplied, beyond normal fair wear and tear. Where possible, we will photograph hired items before and after the event as a record of condition. Any damage costs will be invoiced separately and are due within 7 days.
Where damage does occur, the £75 Damage Deposit will be applied towards the repair or replacement cost first, with any shortfall invoiced separately as set out above. Where no damage is found, the Damage Deposit will be refunded in full the same day, following collection and inspection of the hired items.
5. Access, Timings & Delays
You must ensure we have timely access to the venue for setup and collection, as agreed in advance. Delays in venue access caused by you or the venue may affect setup time and are not our responsibility. Any additional costs caused by access delays (e.g. extended hire, overtime) may be passed on to you.
A 15-minute grace period applies to the agreed collection time. Where collection is delayed beyond this for reasons within your control, a late collection fee of £30 applies, with a further £30 charged for each additional 15 minutes of delay. Late collection fees will be invoiced separately and are due within 7 days.
6. Service Delivery
We deliver every part of your event as one coordinated team. Where any element of your booking is delivered with the support of our trusted partners, we manage the booking, coordination, and quality of that service on your behalf, and remain your single point of contact throughout. If anything isn't right, let us know and we'll act promptly to resolve it.
7. Liability & Insurance
We hold public liability insurance with cover up to £5,000,000. Proof of insurance is available on request, including for venues that require it. Our liability is limited to the value of the services provided. Nothing in these Terms excludes or limits our liability for death or personal injury caused by our negligence, for fraud, or for any other liability which cannot be excluded or limited under English law.
8. Photography & Marketing
We may photograph or film the décor, styling and setup at your event for portfolio and marketing purposes. Where any photograph or footage includes an identifiable image of you or your guests, we will only use it publicly where this has been agreed with you in advance. Please let us know before your event if you do not want identifiable images taken, and flag this in particular where children will be present.
9. Data Protection
Any personal information you provide is used only to manage your booking and is not shared with third parties except where necessary to deliver your event. See our Privacy Policy for full details.
10. Complaints
If you are unhappy with any aspect of your event, please contact us within 7 days so we can investigate and resolve the issue promptly.
11. Force Majeure
We are not liable for delays or cancellations caused by circumstances beyond our reasonable control, including extreme weather, venue closure, illness, or other emergencies. Where such circumstances mean we are unable to provide the service you have booked, we will let you know as soon as reasonably possible and work with you to reschedule your event. Where rescheduling is not possible or not wanted, you will be entitled to a full refund of any amounts paid for services we have not been able to provide.
12. Changes to These Terms
We may update these Terms & Conditions from time to time. The version provided to you at the time of booking will apply to your event.
13. Governing Law
These Terms & Conditions are governed by the laws of England and Wales.
